Translating emails and staying out of the spam folder

If you have landed here today, it is probably because you have a product or service that is absolutely brilliant and you do not want to keep it to yourself. It is so good that you want to share it with the rest of the world. You want to cross borders and offer it to people living on the other side of the planet. You know they are going to love it and that it will be a resounding success.

So you sit down in front of your computer screen and start writing an email to tell the world about your product or service. You translate it into as many languages as you have potential clients in your database. You take care over the design, over the colours. Everything is ready to send and, with your heart pounding, you press SEND.

Email sent successfully

The adrenaline is coursing through your veins. You know that as soon as those potential clients receive it they will reply and you will start selling as fast as if you were handing out sweets at the school gates. And yet the hours go by and nothing happens. The days go by and still no reply.

What is going on? You have a bombshell in your hands and… nobody has noticed? Could it be that the product or service you have is not as good as you imagined? It might be that. Or it might be that when you wrote that email, you did not write it with your potential clients’ language needs in mind. Before we go on, let us put you in a situation, and please answer yourself as honestly as you can. You receive an email from a company you barely know, and the subject line is a sentence that makes no sense to you.

Would you open that email? Supposing you did, you start reading it and it does not tell you who they are or exactly what they are offering, quite apart from the fact that the grammar and vocabulary leave something to be desired. You close the email at once, but not before marking it as spam. Are we wrong?

Tips for winning new clients and not going straight onto the blacklist (the spam folder)

The sender:

This is your role in the game. Your own intentions are perfectly clear to you, but do they fit the recipient? Before sending the email, ask yourself these questions: why would they want to buy my product or service? What is my potential client trying to achieve? Can I send exactly the same message to every client? Should I adapt it to match their expectations?

The message:

It is genuinely important to give your email a structure. Bear in mind that a great many recipients do not know you, so they need to. Tell them why you are writing to them, share what you have in common, introduce yourself (or your business) and explain what you are hoping for from this email, describe what you expect, and finish with a call to action to make sure they reply.

The recipient:

The most important point in all of this is that the recipient should see you as a reliable source, or supplier. Following this structure will help you achieve that, but it is not a cure-all. There are times when we do not understand how users behave, or why the same marketing activity is a resounding success on one occasion and falls completely flat on another. Producing a good translated text is not easy, and an email even less so, which is why so many badly translated emails end up in the spam folder.
